Track a Client’s Case
Cityspan Gear Up guides users through the process of registering students. The system collects basic demographics, such as name, address, and emergency contacts, as well as outcome information such as graduation dates and college attendance. Once registered, students may be enrolled in individual services such as tutoring, or group activities such as classes.
Monitor Program Staff and Partner Agencies
Cityspan HS also manages information about program staff and partner agencies. Staff forms record staff names, addresses, schedules of availability and pre-qualification information. Agency forms record agency names, addresses, contacts and organizational descriptions. Partner agencies can be categorized into groups, such as funders, service providers and schools to facilitate tracking.
Manage Administrative Functions
Cityspan HS includes a number of features to assist agencies with administrative tasks. The system includes a financial management module which enables funders to track detailed, line-item budgets that their service providers create. Users can also use an invoice feature which enables funded agencies to submit expenditure requests; funders are protected through the establishment of reimbursement rules. Cityspan HS also manages information about rooms and buildings, including facility addresses, contacts, room capacities and use restrictions.
With Cityspan HS, it's easy to create statistical reports for presentation to funders, evaluators and others who need program information. Using built-in tools and customizable reports, you can analyze service patterns and participant characteristics to learn details such as who you are (and are not) serving, where you are reaching or falling short of intended outcomes, and what services are most in demand. The system also generates enrollment lists, mail labels, contact sheets and attendance forms that facilitate the day-to-day management of services.
Cityspan HS includes outcomes-analysis tools that enable users to evaluate the effectiveness of different program and service offerings. Users can input assessments, such as scores or grades, directly onto a participant record, thus allowing for analyses that relate program elements, such as participation frequency, to outcomes. Other features that facilitate outcomes analysis include standardized evaluation forms, user-defined assessment forms and unique fields, such as social security number, that can link client data to external data sets.
